Overview

This is the main overview of your Golf Club’s bookable Tee Times.

Here, you can create, manage, edit and cancel Bookings for any of your available golf courses.

The currently selected golf course is slightly larger and marked in a bold font.

Overview of the Tee Times

If you click on the help-icon in the upper-right corner, there are always useful tips and explanations for you - in this case, there is a quick bullet list of all the things you can do in your GolfSuite and the basic icons (what they stand for) are being explained:

Choose any of your available golf courses to reload the Tee Times for your selected course:

Click on Wiki EN

→ To pick a specific day, click on this button above the Tee Times’s grid:

Choose a day:

Click on 20

The Tee Times overview is then automatically reloaded without further input:

You can click the “Today” button to show the current day at any given time, reloading the Tee Times with your already chosen overview.

You have multiple options to modify the timespan viewed without reloading the Tee Time grid.

No matter which overview you are using - you can always manage your Bookings and create new ones.

These will be explained and showcased in the following section.

Day Overview

The standard overview of the GolfSuite. Always selected by default.

It shows one day and the placed Bookings made by golf players and your secretaries.

You can choose to view and thus enable Booking each specific day you choose.

3 Days Overview

The 3 Days view starts with the 1st of January of any year and shows 3 specific days in a row, depending on your first selection

E.g. click on either the 20th to show the 20th, 21st and 22nd of June to show the 3 Day overview of these days:

If you want to start with the 21st, you have to click on a range outside of your selected one - click on any day but the 20th, 21st or 22nd of June, we choose the 23rd in our example:

Afterwards, click on the 21st to show the 21st, 22nd and 23th.

Since our system utilizes CSS for its visualizing, it is adaptive in what is shown, depending on the monitor’s size & resolution and the current level of zooming of this browser tab.

Zooming in or out can change the overview’s details shown - in a 3 Days overview, zooming out enough lets you see the names on a quick glance as well, as well as other CSS elements defined.

You can easily zoom in holding CRTL & turning your mouse wheel.

Or

CRTL & +/- on your keyboard.

Week Overview

This shows each calendar’s week and the Bookings currently placed:

Naturally, you can still perform a Booking at any available Start Time using this overview.

Month Overview (WIP)

Currently being modified - stay tuned for this overview!

Tee Times Options

In the upper right corner of this overview, you have multiple buttons and a search-function available:

What these do and how they work will be explained in the following section.

Quick Search

Click into this field and search for a Customer you want to search:

If found in the currently selected overview, the Tee Times related to this Customer will be marked green and you will be directed to the first one (= the first one booked of the timespan you are viewing):

Blocking Chains = Follow-up Bookings are marked as well. You can also change the date and if the same Customer is found, it will automatically point to the 1st Start Time.

You can click this button to cancel the search - once you do, the Start Times are no longer marked green:

Advanced Search (Lens-Icon)

→ Click on this button (before or after) performing a Quick Search, to switch into a new dialog window:

This is the overview of each individual Start Time booked, which can be narrowed down using our adaptive filter-system.

It shows the following data:

  • Golf Player - the name of the Golf Player

  • Home Club - the Home Club of the Golf Player (if defined)

  • Start Time - including Date and Hour/Minutes

  • Player Arrived - if the player has been marked as arrived

  • No Show - when you cancel a Booking, you can define No Show which can then be evaluated for each player in this overview.
    - E.g. after 3 No Shows → Send this person an E-Mail or
    - Disable Online-Booking for this Golf Player using Price Rules

  • Sell Date - when this Booking was originally created

  • Cancel Date - if a Booking is cancelled, it shows you the date and time when this was performed

  • Product - the Greenfee chosen for this Customer (this can be manually changed by your secretary)

  • Agent - if an Agent is defined for this Start Time, the name will be shown here

  • Golf course - you can narrow down your selection to specific Golf Courses.
    - By default, all Golf Course are shown once you click the Lens
    - To narrow down your selection or order it, you can use the filter-option or just click the elements of the graphical user interface:

Reloading Tee Times

→ If you wish to immediately reload the Tee Times, click on this button:

This can be useful when multiple Users, at the same time, are working in the system.

This also updates any new Bookings placed online or online-Bookings cancelled by members or day guests.

Settings (per User)

→ Click on this button to change settings for the currently logged in User:

For the sake of completion, these are discussed in-depth in the following section.

Tee Time View Settings

  • Refresh rate in minutes - if > 0, this will automatically refresh the Tee Time overview after x minutes pass

  • Teetime Axis size in Minutes - if changed, this will change the overview, e.g. 5 minutes
    - This enables each Booking to have more space, affecting the general overview and, in this case, functionality. For instance, we can now go to the Customer’s record directly clicking on this icon:

  • Calendar Starting From - choose when you want the Tee Time’s grid to begin
    - This does not change the season generated, so this is purely a visual choice/aid

  • Calendar Showing Till - choose when you want the Tee Time’s grid to end
    - this does not change the season generated, so this is purely a visual choice/aid

  • Default golf course - choose the golf course you want to start in when opening the Tee Times overview

  • Show Booking Details on Click
    -If ticked, you have to click on Bookings to open the detailed overview:


    -If not ticked, the detailed overview will open once you hover over a Start Time

  • Allow to select a bulk of greenfees to book at once - if ticked, you can do Bulk-Bookings
    - You can always check the amount of currently selected Start Times in the upper right corner

    - There is no limit nor restriction, using CRTL allows you to freely choose and select any free Start Times to start a Bulk-Booking:

Tee Time Linked Actons Settings

  • Remember POS group when open POS - remembers the POS group you last used sending Start Times to pay at the POS

  • Print Bag Tag when open POS - once you send a Start Time to the POS, the Bag Tag will be printed

  • Print Scorecard when printing a Bag Tag - when a Bag Tag is printed, also starts the printing of a Scorecard

  • Set Player arrived when open POS - when you send a Start Time to the POS, the player (or all players, depending on whether you are sending the whole Booking or the individual Start Time) is marked as arrived

  • Set Player as arrived when print bag tag - when you print the Bag Tag, it automatically sets the player as arrived

  • Customer/Player Selection: Disable automatically selecting of customer if only one entry in list - disables you having to click the Customer explicitly if the system finds only one Customer record while searching:

Tee Time Booking Default Settings

  • POS payment - if selected and a tab of the POS is currently open, the POS-tab is automatically focused
    -If no tab is open, the system will try to open a new tab or window for the POS automatically
    -The system will notify you if it is prevented from doing so (please check Cookies/Cache/… of your Browser:

  • Print Bag Tag - print the Bag Tag with the chosen style (=CSS)

Booking confirmation

  • Confirm via email - if you want the notification per E-mail to be automatically checked by default

  • Confirm via SMS - if you want the notification per SMS to be automatically checked by default

Print Service Settings

Click on this button to reset the Bagtag’s Printing Configuration (if you use the Nexxchange Printing Service):

Saving the new options defined

Click on this button once you are done selecting your choice(s) and save the options for your User:

Quick Print Tee Times

→ Click on this button to print an overview of your current Tee Times:

The timespan covered is the last full hour reached (e.g. it is 3:30 pm → the overview printed starts at 3pm) until the end of this golf course’s available Tee Times:

The main Booking is in bold font at 3:40 pm - the Booking at 5:50 pm is a Blocking Chain Link, a follow-up Booking for a 9H course which offers 18H to be played.

This printed list is adaptable, as in which elements are printed and shown, just like the Tee Times overview. This can be adapted using CSS.

If possible for us, the Nexxchange Support-Team, we will immediately perform the changes you require.

Advanced Printing Options

You have the possibility to print 4 specific variants of Tee Time lists.

→ Click on this button to open a new dropdown-menu:

You can choose between 4 different printing lists, choose the list you require:

What each shows and when it is used is explained in the following section. In addition, there will be a PDF-File you can preview to see what is shown and how it may look like.

Only Booked Tee Times

Choose this list if you want to only print currently booked Tee Times:

Whole Day

Choose this option if you want to print the whole day, including non-booked Greenfees.

If there is a Tee Time Block, the Start Time is not shown in the printed version.

Print with individual date

If you require a Tee Times overview of multiple days with specific requirements, click on this option:

This opens a new dialog window in which you can specify from when until when you want the list to be printed and whether Available/Booked/Blocked Greenfees should be part of this list:

→ Click on this button to print the list:

For instance, if we pick 2023-06-20, 0:05 am until 2023-06-22, 23:55 pm, we get the following view (as a PDF-File).

Blocked in this selection relates to the Tee Time Block’s type. If the Tee Time Block is defined as an Online-Block and you tick the Checkbox, it will still print these Start Times.

Print CaddyMaster Service

Choose this list if you want an overview of the currently selected day and all Customers using the CaddyMaster Service, which you can define in Customers & CRM - Personal Information per Customer.

Booking & Managing your Golf Club’s Tee Times

After being familiar with all the options and possibilities to change your overview, the following section explains Booking Tee Times & how you manage (create, edit, copy, shift, etc.) them, including printing options.

Booking a Tee Time

Hover over an empty space and then click on the UI-element shown in the following screenshot:

Click on the Greenfee-Facet you want to book (if you only have one, this dropdown menu is not shown):

Click on Greenfee 18 Hole

Proceed to search for the Customer(s) - click on an empty field or press on the x to enter a new Customer:

Click on Surname Firstname or Membercard

Optional - define an Agent (this can trigger Price Rules, for instance):

Optional - define a Comment for this Booking, for instance, if there is any additional info you want to relay to your colleagues about this Booking:

Optional - you may choose another Start Time you want to book simultaneously, as part of this new Booking:

Optional - after you clicked “Linked tee time”, click on the button next to the Start Time you want to book:

Click on this button to copy all the already booked Customers and their Greenfee-Facets…

…and click on this button to shift them to the new Start Time, saving you the time to enter them manually:

As you can see in the following screenshot, copying the already entered Customers went smoothly and fast:

Click on Surname Firstname or Membercard

You can manually add or remove Customers or change the Greenfee-Facet anytime you require it - just enter the Booking dialog again.

You can also click on the button next to a Customer to fill out empty spots left (from top to bottom):

After selecting the Customer(s), we head to Billing to check the prices the Customers receive:

The Customer shown in the screenshot is responsible for the Booking - the Booking order will be created under this Customer:

Click on Customer

If set up, a Booking Segment can be defined or an External Order Number can be entered.

In case you use Promo Codes associated with Price Rules, you may enter them under Promo Code.

Optional - a Booking can be immediately charged by using an Electronic Wallet of a Customer - simply click the right one:

If the amount is too high, it is not possible to do so.

→ To check the price, click on this button to get an overview of the current order:

Click on Quote Booking

Each Customer and their associated Greenfee is shown:

Mr. Brady tells us he wants a Rental - a Cart to be precise, so we move to the Rental-tab:

→ We first click on this button next to a Rental to add one Cart:

By default, the 1st Customer’s Start Time of this Booking is chosen as renter. You can change this by clicking on the Start Time/name to open a dropdown list:

Pick the right Customer (and maybe Start Time if this is a Bulk-Booking). You may also change the timespan this Rental Object is being rented, which might affect its price.

Once you selected the right Start Time for this Rental Object, we check the price again under Billing:

Now we can also see the Rental for Mr. Brady:

As it turns out, Mr. Brady has a specific abo (with a Price Rule), leading to his prolonged E-Cart not charging him at all - the rule activated automatically, without having to worry about accidentally charging Mr. Brady.

We then want to send an E-Mail using our notification system - we click on Booking confirmation:

Pick your selection (who to notify) and we can also check out the layout of the template:

Click on Customize Communication Content

You can preview the template you are going to send, if you have different ones or set up a new default-one:

→ Once you are done, click on this button to save the Booking:

Click on Book Tee Time

You can see the Rental in the Tee Time overview (it is marked in the screenshot):

This concludes the general Booking process in our GolfSuite.

Functions of the Tee Time calendar’s Bookings

There are various functions which need to be explained in detail.

When you click on a person with a Memo, it’s possible to see it after clicking on the Customer in the overview - as long as the CSS-Template of the Tee Times overview supports it.

Moving/Copying a Start Time

Click on the Start Time(s) you want to move/copy:

→ Click on this button to copy the selected Start Times to the clipboard:

If you copy a Booking (or multiple ones), a tooltip will show up in the upper right corner, notifying you.

Proceed to click on an empty flight / Start Time (or mark as many as you require to shift the Start Times associated with it).

Click on the shown element to start the process of copying/moving a Booking:

Click on the Greenfee Facet you want to book (you can shift from 9H to 18H freely):

Click on Greenfee 18 Hole

You can see, line by line, which Start Times are getting moved and if Rentals are booked as well - you can freely choose which Start Times you want to move (tick/untick them):

The time of the rented object is standardized from Start Time to end time. The end time is determined by the Greenfee’s Facet (if one is chosen) or the default time it takes to finish the golf course’s round.

You can freely change the time span of this Rental Object, as to rent it earlier/longer.

→ Click on this button to move the selected Start Times:

→ If you click on this button, you copy the whole Booking without deleting the original one.

In case the whole Booking has already been paid for, you may keep the existing Booking as settled - if you decide to move it:

You have the option between:

  1. Set Order Settled If Amount Keeps Unchanged? - choose this if you want this Booking only settled in case the amount to pay remains the same (= is not affected by any Price Rules or a different Greenfee Facet price)

  2. Force Setting Order Settled - the Booking order remains settled, even if a different price would be calculated

These are defined in the season of the Tee Time calendar.

If a Booking has a Blocking Chain link, it will be visually shown with a paperclip:

These can also be moved individually - in case a Customer wants to take a break in between 18H on a 9H golf course, for instance.

If you move them, they are still linked to the original Booking - it’s the same as moving a single Start Time.

Marking (a) Player(s) as arrived

→ Click on this button:

If you tick this checkbox, every other Customer of this Start Time will be marked as Player arrived:

If left unchecked, only the Customer you selected will be set as arrived.

Printing Options - Bag Tag, Scorecard and Sticker

  • Print Scorecard CR (= Scorecard incl. default CR for Men/Women defined in Available golf courses)

Cancelling/Voiding a Booking

→ Click on this button to start the process of cancelling/voiding a Booking (or individual Start Times):

This opens a new dialog window, in which you can cancel/void a or multiple Start Times.

The following options are available:

  • All - click this checkbox to tick all Start Times of this Booking, in order to void them all:

  • Start Time Date - click on a Date to mark all of its associated Start Times and void them:

  • Select a player - click on a player to void the player’s

In case the Booking was placed under a Customer you are about to void, you will have to select the new Customer who will be responsible for the Booking (which you can find under Customers & CRM):

You can also define a voided Start Time as “No Show”, which can be tracked and filtered in the Start Times overview:

You also have the option to send an E-Mail or a SMS to notify the Customer of this process.

Changing an existing Booking

POS Payment

POS Payment - Send the whole Booking to the POS

→ You can send the whole Booking as a single POS-Ticket by clicking on this button:

In case you have options activated to automatically mark the Player as arrived, print a Bag Tag or/and Scorecard, this will automatically open all the dialog windows for you to do so for all Customers of this Booking.

You can still individually pay for the product positions at the POS if a person wants to pay individually - please refer to this page as to know how.

POS Payment - send the individual Rental(s)/Greenfee of a Customer to the POS

→ Click on this button to see the individual price this Customer has to pay:

You can then see how much this Customer would pay for the Greenfee and/or Rental:

Click anywhere on either the Rental or the Greenfee to send a POS-Ticket of this Customer’s order (= Booking) items to the POS:

If you send this to the POS, you will only see the order items of this Customer which have not been paid for yet:

Naturally, you can always select individual positions or choose another Customer who pays.

After you have payed for the associated order items of a Booking, they will not be charged again - even if you allow a Customer to pay later for the remaining, yet unpaid order items of this Booking.
