Tournaments
Aim of the game: The aim is to play a ball (minimum diameter 42.67 mm, maximum weight 45.93 grams) with as few strokes as possible from a surface designated as a tee in accordance with the golf rules into a 10.8 cm diameter circular hole, usually several hundred meters away. As a rule, the golf course comprises 9 to 18 holes, which can be a total of more than 7,000 meters long.
If the ball cannot be played according to the rules (e.g. because it cannot be found anymore or because it has sunk into a pond), the golf rules provide for certain possibilities of resumption, but mostly with penalty shots. The sum of the shots until the ball is punched (golf shots + penalty shots) is called the score and is noted on a prefabricated result sheet, the so-called scorecard.
The menu
Overview
In the tournament overview, you will find all tournaments that have been created or already completed with the GolfSuite. You can filter by year, status or past or future tournaments.
Sort the created tournaments
To set a specific sort order, simply click on the columns (tournament number, date, tournament title, description, Tournament type, number of rounds, registrations or tournament progress).
Depending on the number of your 'clicks' it will be sorted either "Ascending" or "Descending" (see screenshot above).
Info about the tournaments printout can be found under Tournaments - Betting#Betting print options-Tournaments.
Search tournaments
The simple search function (search field on the right) refers to the name of the tournament. In addition, you can limit the search by specifying the year / month / status and want to see all tournaments or only future tournaments.
Pressing the "green funnel" will apply the selection made.
Depending on the number of your 'clicks', either 'Ascending' or 'Descending' will be sorted (see the sorting diagram in the figure above).

Tournament series
Procedure
Tournament series can be evaluated in the course of an "annual evaluation" in two different formers:
- Aggregate
- eclectic
First define which tournaments are to be evaluated and then adjust how the results are displayed.
These 2 steps will take you to your annual evaluation.
Procedure
Here you first create a tournament series and assign a name:
Then open the created tournament series with the red marked button:

Selected Tournaments: The selected tournaments are used for the tournament series.
Selecting Tournaments
The same logic is used as for the team evaluation or the tags. You can select tournaments from the 'available tournaments' list by double-clicking, dragging and dropping or simply dragging.
Now select the participants:
Printing options → Evaluation:
Now that the configuration is finished, specify whether you want to evaluate the results by "Aggregated" or "Eclectic" (click on "Print" and select an option):
SETTINGS
Minimum number of participations: If you leave 0 it doesn't matter how many tournaments a player has played, he will always be evaluated.
(e.g. if you enter 3 here and player X has only played 2 tournaments, he will not be evaluated).
Golf course data
Create course data
The course data stored with the association will be loaded and created as a new (!) copy, old, already existing course data will not be affected. Courses that do not exist in the course rating or 9-hole courses that are also to be played as 18-hole courses can be created manually.
If there is a problem with the data stored with the association, the association will solve it within a few minutes - with the corresponding information.
When managing course data, the greatest discipline and accuracy is required, as incorrect data can lead to problems during the handling of a tournament. It is advisable to mark old course data as such by name, including tee-offs, etc.
However, with proper administration, this is only rarely necessary.
Changing course data
When you create a new tournament, the current course data is stored as a copy in the tournament. If you then reload the course data from the federation, change it manually, etc., you will also have to reload the current course data for all(!!) tournaments already created (where these course data are to be used) or adjust the tee-offs.
Therefore, if a course rating is due (rebuilding, etc.), you should wait until you create a new tournament, otherwise you will have to spend more time and effort (which is easy to avoid).
Championships
Match Play is a scoring system for golf in which a player, or team, earns a point for each hole in which they have bested their opponents; as opposed to stroke play, in which the total number of strokes is counted over one or more rounds of 18 holes. In match play, the winner is the player or the team, with the most points at the end of the play.
Here you can easily create new MatchPlay
at the beggining you need to full the basis dates of the Championship:
then you can need to modify the settings:
You can choose between: Round Robin, KO system or Ryder Cup
and you can also decide if it s a team Matchplay or not.
After you save your settings you can choose the course:
For our example we choose a Round Robin without Teams.
Next step will be the registration.
After you set the maximum number of partecipants you will see the Rounds that will be creeted:
with 6 registrations:
after setting the Ranking it will be enough to click on set Players to have the players in the Match.
Clicking on the pen next to the match will open the following window:
here you can choose the start date and the player who win and the score difference.
at the end you will have a ranking for the first round.
You'll do so for the next rounds and at the end you will have a total ranking with all rounds.
Hole statistics
Hole statistics can be called up at any time and filtered according to various criteria (date delimitation, selecting certain discounts, vw, etc.).
After the settings have been made, you must confirm your entries with the green filter symbol (see image below).

Re-publish tournaments
In this menu item, all tournaments can be sent again to your national association and Nexxchange.com and published again.
Create a new tournament
Path: Competitions → Overview
In the column " Date " the start of the 1st round is indicated, i.e. here is not indicated when the tournament starts (this indication is made under " Set up "), but in the round 1 under " Start times ".
Basic data
Now create the basic data of the tournament (name, date, registration deadline, public or not, Hcp limits, number of players and number of rounds):
After you have entered and saved the basic data, you can publish the tournament.

Set up tournament
You are now already in the process of setting up the tournament.
Here you have the possibility to change the basic data again or to edit the groups.
Edit groups
Here the groups are displayed according to the HCP limits.
After entering the HCP and group definition, it is absolutely necessary to go to Save and not Exit immediately = otherwise, the values will not be saved.
The input is also accepted with a positive value and then converts it into a possible value (e.g.: Input 18 jumps to the next line -> -18 is saved).
By confirming the Range HCP the group below is already adjusted with -18 to -24 and so on.
Tags
In this mask, you already have the possibility to create tags.

Edit round
You can now modify each Round separately with the following Fields.

This display is also intended to provide a better overview.
Thus it is no longer necessary to check e.g. in the area stitch what is set. Now you can see the applied entries immediately.
If you want to delete a round, you have to change the number of laps under Set up. Thus the 2nd round is deleted.
In case of a subsequent change of the place data (of the course), it is necessary to go to 'Recalculate' in the entries.
Tee Assignment
After choosing the course you will be redirected directly to the tee assignments. Here you must assign all the groups you have created!
When you see the message "All mandatory groups are assigned" (for both men and women), click Save to leave the tee editing page:
You can also define an age class for the group definition, which you must specify. The age class "overruled" the group distribution.
e.g.: You have defined the group distribution for the men in the tournament as follows:
GROUP A - 0,5 - 25,5 HCP - Tee Red
GROUP B - 25,6 - 45 HCP - discount yellow
We take the player Max Mustermann (31 years old), who has an HCP of -20,3.
If you do not enter an age group, Mr. Mustermann will be red in the group definition when teeing off.
However, if you want a certain age group to tee off from color, you can define the "General class" for "Men red" as in our example, for example for Mr. Mustermann.
So despite his HCP he will tee off at yellow instead of red → Age group "overruled" the group distribution!
Individual tee assignment
If only one or a small number of players - a different tee-off is desired than the group specifies - you can also assign it manually in the nominations below (next to the nomination click on the number to list the 'actions').
Why do the groups have to be defined if I only need the age groups?
If you have an entry (player) that has no birthday (e.g. a player that you have created internally for a tournament that is not effective) so that these players can still be assigned.
Thus we intercept faulty players as well.
HCP Calculation formula
Legend (using the game default):

MAX represents the highest HCP value. MAX1-X represents the second-highest HCP value, etc.
MIN represents the lowest HCP value. MIN1-X represents the second-lowest HCP value, etc.
HCP1-X represents the HCP of the corresponding player in the squad.
Why do I have to enter the formula manually?
In order to enable a flexible, individual calculation of the team's default on the basis of the game's default values, the "mathematical formula" can be freely defined. You can use the above (legend) to specify how the player's / team's default values are to be calculated (or you can choose one of the predefined, typical patterns/templates).
Example
We set a Texas Scramble (Stableford with 3 players) (or the so-called Ryesome-Four):
An often used calculation method is:
HCP calculation formula MIN * 0.8 + MAX * 0.20 :
When the need arises, the win is so great (the 2452 team will be there to help them).
MIN * 0.8 + MAX * 0.20 = (12 * 0.8) + (15 * 0.2) = 9.6 + 3 = 12.6
Nominations and player search
It is important to start with the last name and then the first name. The longer the input, the faster the player can be found.
The results will be directly fetched live by the federation's server (caution with very common names).
Search function for double names
We will take Max von Mustermann as an example. Notation in the system:
First name: Max
Last name: von Mustermann
The system can now recognize by a simple comma where the last name ends and the first name begins (so it is now possible to narrow down more precisely what is searched for).

If "only" this specification is used, the logic will continue to be used:
From -> stands for the last name
Mustermann -> stands for first name
Correct (possible) search

of Mu, Max (the name does not have to be entered completely - if the search is reduced to 1 player, it will be filled in/selected automatically).
It is possible to name players who only exist within the club (club search) for tournaments that do not have a default effect. This field is only displayed if the round is selected as 'not effective by default'.
Golf association
Data is fetched live from the federation and the player is registered after selection in the tournament.
Update (the following possibilities are still subdivided here):
Fetch HCPI from association (association server)
If it happens that a player has improved his HCP for a short time, but he has been listed with his old HCP for 1 week (example) at the tournament created with his old HCP, the function Update > "Compare" now asks if there are differences between the HCP of each player at the tournament and at the association.
If there is one, the current HCP of the association is shown in orange on the left, as shown above.
Sync Handicap for Round 1
pressing this button will synchronise playhandicaps and handicaps
Recalculate
the >Recalculate< is also used if, for example, the game form should be changed. In this case, the squads and game defaults have to be recalculated.

Registration
Visual representation 10 players are on the participant list (confirmed), 110 players still have room. As soon as the 111th player is on the list, the player is put on the waiting list and must be confirmed manually to participate in the tournament.
2 players are currently deleted or set to "Inactive". In order not to have to call these players again (in case of a change), you can "activate" them again by selecting the number in the first column and confirming that you want to activate them.
Search
Search for players on the entry list. The number is limited according to the entry. After deleting them, the total view of the nominal list returns again.
Editing the player
In the entries you have the possibility to edit the player:

To modify players info it is sufficient to click on Edit player and the following window will appear:
- An important point is the HCP update. If this is still selected (so that an update of the HCP should take place), one would lose possibly made settings, because these would be overwritten with the next bandage adjustment.
- HCP status: This must be changed if, for example, an inactive player wants to participate but is not yet eligible to play for the association.
Individual tee-off, gruppe, handicaps or playhandicaps
you can - deviating from the settings you have made - specify the new setting.

Send message
Content is entered by the user himself. Here you have the option to choose which communication channel to be used.
The prerequisite is, of course, an active entry under the customer data with e-mail or mobile number.
in the registrations you can send a message with placeholder regarding the registrazione while in the round one you can also use those regarding the start time.
Send SMS
If you try to send the start time of the customer via the tournament module, he will first try to send an SMS, if no mobile number is stored, he will try to send an e-mail (the e-mail address must also be available, so that the customer can get it).
Call up customers in the database
If no telephone number or e-mail address is entered, this can be done in the customer administration. For this, there is also the 'Show player' in the editing window. Thus the player is selected and displayed directly in the customer administration (see screenshot under Editing the player).
PREREQUISITE: the numbers must contain the international country codes otherwise the Golfsuite will not be able to send any message to the players. Please check the telephone numbers of the players in the customer database.
Online entries
After the settings have been made, the players can also directly register for tournaments with the association themselves. So that the club does not have to re-enter them in our suite, this function "downloads" all entries from the association.

Create start list: Used to create complex group layouts according to your own specifications.
Start List - Definitions:
Game type: Here it is basically "only" decided whether there is a normal start, or a cannon start (= of all tees is started at the same time).
Tees: If you want certain tees to start at the same time, you can select them and then 'Generate' (result: see screenshot above).
Special example: With a normal "game type" you can also start 2 groups at the same time by teeing off from different tees (screenshot below). For example, Tee 1 and 10 were selected here. According to the settings, the start times are then also clearly marked on the printout (start time list).

If you want to add a new start time, you can simply click on the pencil icon to change it (see screenshot).
Effect with different playing modes
If a game type is selected where e.g. a squad is formed, no new flight is created here, but a whole squad is created.

If you want to insert a break, you can change the time of the flight following like described before and then automatically change the following flights using the magic wand tool!
Timesheet
In order to give you an overview even under time pressure, there is the possibility to display the transit times (also called 'timesheet'). In addition, you have the option of printing the transit times in the desired order.
In order to access this information, however, you must first specify the duration of the holes so that they can be calculated. For this, you have to go to the menu item Tournament → Course data.
Here you first select the course, then a tee color. Now you will see the hole information, which you can edit and specify the duration:

Extent of input
Please note that for each course you have to enter the hole data manually. For example, if you have 2 courses (9 holes + 18 holes), you have to enter the duration of the holes separately for both courses.
This procedure is to be carried out only once, as long as you do not want to change it.
After this information(s) has been stored, you can now view/sort/print the transit times.

Filter options
The filter option according to different tees will only be offered if different tees have actually been used. In the example above, 3 tees were used, which is why you can differentiate between them.
Access via mobile devices
If you would like to use the transit times adapted for your mobile device, you can leave the adaptation to the GolfSuite with the button.

Now that you have created a starting list, you can send the players to the round by Flight, Single or all together by triggering.
Mark players as...
Path: Tournaments → Round 1
It may happen that a player does not appear or is disqualified by unsportsmanlike conduct.
For these cases, there is the function "Mark as...".
- To mark a player as No Show (NS), the player must be at the start (" Start list " as shown in the figure).
- To mark a player as No Return (NR), the player must be " on the round ".
However, if the player is visually elsewhere in the tournament, you can always move him to the desired position with the button and mark the deposited " Mark as...". function on the player.
Please note the area you have to be in!
You can also use these functions for a completed tournament. You have to be in the 'Round 1' tab (under 'Tournament completion' you can also see the players with their status (NS, NQ, etc...) but you can only publish or print them).
Meanings of the association's markings
DQ (Gross and Net equals 666) means that the player has been disqualified but the result is used to update the baseline.
DIS (Gross and Net equal 999) means that the player has been disqualified, but the result cannot be used to update the baseline and the player deteriorates by -0.1.
NR (gross and net equal 888) means "no return". The player deteriorates by -0.1.
NS (gross and net equal 777) means "no show", the player did not play this round. The default value remains unchanged!
Scorecard
The scorecard is a form to record the results in golf.
Since each golf course has its own special requirements, there is also a special scorecard for each golf course in which the results achieved - per golf course (the golfer says: per hole) - are noted. This scorecard takes into account the specific features of each golf course. In addition to the general information such as date, player name, handicap of the individual players, etc., the following information is particularly important:

Stroke index (SI or HCP)
Course Rating (CR)
Slope value (SR)

After all tournament participants have finished the round, you will see the possibility to call up the scorecard:

After selecting the player, you now have the possibility to enter the score and save it:
Saving the scorecard
If you enter the scorecard with missing scores, it is currently not possible to save them.
So you have to enter all scores for each player completely.
After you enter all the scores you need to click on exit to go back at round 1 where you be able to see a ranking with the standard Prize classes Netto and Brutto:
If you want to add more prize classes you just need to go in the Prize classes menù and add new ones:
here you can choose to import the classes from another tournament or insert new ones pushing on the taste +:

When all players did get a score you can enter the menù end where you can see the Rankings, print them or download them as you wish:
Create and print winner list
In addition to the result list, it is also possible to create a list of winners on which the special prizes can also be printed (screenshot below).
Now you can define how many prices there are in gross or net and in the individual groups.
Our example: Gross-Price Male
Make all settings one after the other and click on "Add price class":
This calculation takes only a few seconds and you can even calculate the next price class during it:
Double exclusion of prices:
What does gross before net or double exclusion mean?
If you win a gross prize, you will no longer receive a net prize, even if the player is at the top of the net rankings.
With the function "Mark Non-Unique" you will be shown those players who appear more than once in a prize category. Now you can remove the respective player from the net list.
Please note that special prizes are excluded from this rule anyway.
Remove player: Click on the rank of the player and on "double prize exclusion". The player will then be displayed as crossed out.
Here you also have the possibility to mark the player with "out of competition".
To add the next player to your list, simply increase the number of prizes with +. The next player will appear on the list.
Here you also have the possibility to delete individual price classes in order to create them again.
Special prices:
Also special prices like "Nearest to the Pin", "Longest Drive", etc. can be printed on the winner list.
Enter the name of the special price in the corresponding field or select a price from the list. You can enter anything you want in this text field, e.g.: "Nearest to the Line Jugend", ...
Now select the player and confirm your selection with "Add special prize".
The special prizes will be printed at the end of the winner list.
Card engraving in case of equal impact
The term card trick is derived from the fact that the final order is determined on the basis of the scorecards.
There are different ways in which card trick is used. This is determined under Tose Rules in the round settings :
Conclusion
At the end, you can - depending on whether the tournament was effective - publish.
In the display, you can see basic information about the tournament you have entered.
There are still 2 possibilities for selection when publishing:
Show registrations? the entries that were specified will not be published in the tournament information.
The tournament now has a close button. Returns to the table view of all tournaments.
In addition, you can now view the tournament at your association with the globe icon (should it be available = published).

Timeout - Error message
If a timeout error message occurs when uploading the results, the problem is with the browser and not with the software. This often occurs when a window in the browser remains open for a long time and no further activities are performed.
Archiving
Every finished tournament can be archived. This means that later changes would be very difficult or impossible (e.g. delete a player, etc.).
Printing options - Tournament
In tournaments, you can use the print function in several areas:
- Tournament overview
- Refgistration list
- start list
- guest list
- scorecard
- Timing Sheet (transit times)
- Gross/net result list (age/group/discount/sex selection option)
As a further option, you have the possibility to export the data as a .xls Excel file (where you can make any manipulations in the following).
Finally, you have the option to save the view you are in to the clipboard. So you have the possibility to implement it into an existing file.
Print sorted by group / name / HCP
If you want to print the nominal list according to a sequence or a criterion which you cannot find under 'Print list of participants', you can, for example, export the nominal list sorted by groups (click on the column 'Group assignment') using the function .
The same procedure also applies to the columns Stvg, Spvg, Gender, Age group, Discounts, and Tags.

Frequently Asked Questions - FAQ
When can I publish tournament data at the federation?
As soon as the basic data is available, you can start to publish data at the federation.
Depending on the area you are currently in ('basic data', 'entries', 'round 1', etc.), the relevant/existing association data (tournament info, entry list, start times, etc.) will be transferred up to this step.
How do I delete tournaments that have been sent to the federation?
Already published tournaments can be deleted by the federation.
How do I send the players to the round?
If you want to send all players to the start, you can do this with the button .
Additionally, there is the possibility to send players to the start per start time:
You only have to click on the start time you want to start.
How can I send the players back to the start?
This function is currently being applied to individual players. You can see the necessary button in the screenshot:
Why isn't the team HCP matching the number of strokes ?
When applying a hcp factor, the team handicap shown in the Registration tab remains the same. This is because we make a difference between the team handicap and the number of strokes for the team.
For example, a team has a team handicap of 15. If you decide to apply a hcp factor of 7/8, the team handicap will remain 15. But our system will calculate 13 strokes for the team (15 * 7/8 = 13,125).
Our system will show a number of strokes for each player. This is just a piece of information since the tournament is a two-players tournament, the number of strokes is calculated for the team.
