Greenfee Order Cancellation Rules

In order to define who can void their bookings in which timeframe, you can set up Cancellation Rule(s).

These can be set up in a specific way, as to only allow members/guests to book/void their bookings (if required).

An example of this rule →

The Cancellation Rule(s) are usually set up by the Nexxchange Support-Team.

If you require any additional / specific requirements, do let us know.

Individual discounts

This tab shows all Individual discounts, which are rules applied to specific Products on a customer’s Periodic Billing Template. These can be assigned to specific customer or a general discount applied to a specific product for each member in your GolfSuite - easy and simple.

These rules can be modified by our Development-Team in case you have specific requirements, e.g. rules should only apply to a specific age-class.

Creating and managing Individual discounts

image-20240814-130555.png → Press on this button to create a new Individual discount - e.g. we want to provide at least 5% discount for every existing and new full member next year due to a specific circumstance:

Screenshot_1881.png

Since the Priority is by default 100 for Individual Discounts set up in this tab, Individual Discounts set up directly at a customer’s billing template are not overwritten (by default, these have Priority 80 since they are more likely to yield a higher/more personalized discount).

image-20240814-130618.png → Click on this button to edit an existing Individual Discount - e.g. we forgot to limit the previously set up rule to only apply until the end of 2025, so we add this to the existing entity and click on Screenshot_1453.png :

image-20240814-130841.png → Click on this button to delete an existing Individual Discount, resetting its effect.

This is not reversible - you can always create a new Individual Discount though.

Tax Rules

Tax Rules can be set up here, which can affect the Tax for your Products sold (either for each Product or for a whole Seller).

If required, this will be set up during the Onboarding-Process.

Promo Codes

This will show an overview of all your Promo Codes defined and their associated Single-use Codes (ask the Nexxchange-Support Team if this needs to be activated), in which you can also create, manage and delete these elements.

Creating, editing and managing your Promo Codes

Screenshot_1445.png → Click on this button to create a new Promo Code:

This will open up a new dialog window, looking like this:

Screenshot_1871.png

You can define the following parameters:

  • Promo Code - the name of the Promo Code

  • Discount Name - you have to search for this definition when assigning this Promo Code to a Price Rule

  • Short Name - displayed in specific areas

  • Category - the Discount category this Promo Code should be assigned to (mandatory)

  • Discount Percentage - if you want to define a discount based on the % of the booked Greenfee/Product, define a range from 0,01 (= 1%) to 1 (= 100%).

  • Discount - if you want to provide a discount in numbers (e.g. 5€ discount → define 5 here):

    Screenshot_1876.png
  • Cumulative - if this is ticked, the Promo Code can be added on top of another discount, this only works in specific ways via Price Rules:

    • e.g. a Day Guest from another Golfclub receives 20% price reduction → if the Price Rule with the defined Promo Code is fulfilled, another 5€ discount on top of the previous 20% may be applied using a specific Price Rule (defined by our Development-Team), which is linked with the Promo Code

    • If applied on top of another Price Rule , the discount will be applied and used - the original Price Rule will still be shown, although the total amount for this booking position will change

  • Price Base - this has to be defined if you define a Discount (not a Discount Percentage)

  • Currency - the currency used by the Seller (and its Products)

You have to define either Discount Percentage or the Discount in a Promo Code.

Screenshot_1463.png → Click on this button to save your Promo Code:

Screenshot_1870.png

To assign this Promo Code you just created to a Price Rule, enter the Discount Name in the text field of a new (or existing) Price Rule:

You can directly create a Promo Code clicking on the Screenshot_1853.png-button while creating/editing Price Rules.

Setting up Single-Use Codes

Single-Use Codes can currently only be created and used in the Tee Time calendar in your GolfsSuite, but not online on Nexxchange.com. These can be created and managed by your employees.

image-20240813-142549.png → Create a new Single-Use Code for the currently selected Promo Code category, including the Quantity:

Screenshot_1877.png

image-20240813-143822.png → Edit an existing Single-Use Code - the Quantity can not be changed, since each Single-Use Code you might have previously defined is independent from each other:

Screenshot_1879.png

Screenshot_1434.png → Remove an existing Single-Use Code - this can not be undone

Single-Use Codes not assigned to a specific Customer

If a Single-Use code is not assigned to a specific Customer, this can be redeemed by entering it in the field below Promo Code while placing a booking.

For instance, you might have given out special vouchers as a price.

Using this feature allows you to set the required amount up and easily let them be redeemed.

Single-Use Codes assigned to a specific Customer and how to redeem them

Single-Use Promo Codes can be assigned to a specific person (shown earlier while creating one) during the booking process.

If this person is part of the booking process, you can apply it to a specific booking to take effect:

Screenshot_1878.png

Depending on the setup of the Price Rules and their Priority, this should lead to the desired price for the customers which are part of this booking.

The functionality as to who will receive this price reduction is managed by the criteria defined in the Price Rule you applied this Promo Code to.

If applicable, it is assigned to each customer meeting the criteria.

If no one manages to fulfil the criteria, naturally, no discount will be applied.
